When you write time on a matter, the setting of the matter determines whether the time is considered billable or not.
Legalsense shows the total billable time and the total non-billable time at the bottom of the time entries of a certain day. See for example the Per day overview below.
Time entry status
Billable (abbreviation B): the relevant time entries are included on the invoice;
Non-billable (abbreviation NB): the corresponding time entries are written off and therefore not included on the invoice;
Zero rate (abbreviation 0): the corresponding time entries are included on the invoice with a 0 amount. Marking the time entrie(s) with 0-rate is an option not to charge the time, but to inform the client that this time has been spent on the matter.
Write off (abbreviation W): the relevant time entries are written off and therefore not included on the invoice.
Marking time entries
Within a billable matter, it is possible, if you have the rights to do so, to mark time entries by means of a checkmark as Non-billable/Write off or Zero rate.
The easiest way to change the status of the time entry from the 'Per day' overview is by placing a checkmark in the desired column at the end of the time entry row.
However, you can also change these options from the window 'Search' or in the opened matter by clicking on the clock icon with pencil after looking up the time entry for editing.
When you want to change the status of multiple time entries at the same time, tick the corresponding time entries and choose the desired option under 'Mark as'. With these options you can also undo previously applied write-offs.
The option 'Write-off options' offers the following additional options:
This allows you to write-off time partially, completely or for a certain percentage. The applied write-offs can be seen in the time entry:
and on the matter:
Note: time entries can only be changed and/or removed as long as they are not yet on a (draft) invoice and/or do not fall into a closed period!
Attention: both written off time and zero rate time are shown as billable time in the 'Timesheet' section. However, a distinction is made in the 'Invoices' and 'Reports' sections.
