Seamless Integration with NetDocuments

Legalsense offers a robust integration with NetDocuments (netdocuments.com) through the use of the NetDocuments API, enabling seamless data exchange. To facilitate this integration, your Legalsense application must be registered within your NetDocuments environment. Before you can do that, Legalsense needs to register your Legalsense installation with NetDocuments for access to the appropriate NetDocuments data center. You can manage and monitor the status of this integration directly in Legalsense by navigating to ‘Settings > Integrations > NetDocuments’. Here, the ‘Get authentication code’ option is available, requiring a NetDocuments user with full Admin permissions for completion.

Client and Matters Management

The Legalsense integration with NetDocuments is designed to support a Matter-based Workspace configuration within NetDocuments. Our integration aims to effortlessly synchronize and update client and matter information from Legalsense to NetDocuments. Specifically, Legalsense automates the population of client and matter lookup lists in NetDocuments. A continuous background process checks for items in Legalsense's NetDocuments queue, ensuring timely synchronization. Upon successful processing, items are moved to the ‘Synced’ list.

By default, Legalsense integrates with NetDocuments by utilizing a Client lookup list and a Matter lookup list, mapping client and matter numbers from Legalsense to the ClientKey and MatterKey in NetDocuments, respectively. This mapping occurs each time a client or matter is saved in Legalsense, with the process running approximately every minute.

Enhanced Integration Features

Our integration extends beyond basic data synchronization, offering additional features for enhanced functionality:

• Workspace link: Legalsense will place a link to the NetDocuments Workspace on the matter page in Legalsense.
• Matter Types: Synchronize Legalsense matter types with NetDocuments to influence Workspace template selection, accommodating different organizational needs.
• Close Date Management: Archive matters in Legalsense with a specific close date, reflecting in NetDocuments to restrict further modifications. This feature includes an option to delay the close date in NetDocuments by a specified number of days.
• Invoice Synchronization: Optionally choose to store finalized Legalsense invoices within the corresponding matter workspace in NetDocuments, with support for custom document types or folder storage. Please note that for invoices related to multiple matters, the invoice will be stored in each matter workspace.
• Chinese Wall Compliance: For firms with both legal and notary practices, our integration supports the separation of access between practices through the configuration of distinct cabinets for Lawyer and Notary matters, adhering to regulatory requirements.

Customization and Support

We offer customized integration options to meet the unique needs of your firm, including but not limited to additional cabinets based on matter type or other criteria and the automatic creation of general matters for new clients. Custom requests require preliminary evaluation and may involve additional work, to be discussed with a Legalsense consultant.
