Legalsense offers extensive options to create custom reports within your installation.
Aside from creating these reports there is also the possibility to subscribe to these reports.
The subscription enables the user to receive a summary of the report via e-mail. In this way, Legalsense offers customers a proactive way of receiving the needed information at a set time.
For managing this functionality, the following permission is required:
- 'manage_reportsubscription': the possibility to manage the subscriptions of all users. This permission is added to the groups that had the permission 'manage_report' (e.g. the permission group 'Reporting management').
Please note that users who don't have the permission 'manage_reportsubscription' will only be able to create a subscription for themselves on reports they already have access to.
Creating a subscription
Creating a subscription is possible through the following steps:
Step 1
After you open the report to which you want to add a subscription, the following button emerges:
Step 2
On this screen, an overview of the existing subscriptions will emerge. Through the button 'Add subscription' it's possible to add a new subscription to the list. When creating a new subscription the following fields emerge:
- Recurrence: This is a mandatory field to configure the subscription's repeat interval. You can add a rule and optionally combine it with a date. It's not possible to only add a date or to configure an end date for the subscription.
- Run at: This is a mandatory field to configure the time at which the e-mail is sent. The time should be noted in a 24-hour format (xx:xx), such as 12:15.
- Recipients: This is a mandatory field. At least one user needs to be selected as 'Chosen Recipients'. These users will receive the report via email.
Step 3
After saving the new subscription, you get redirected back to the subscription overview of the report. In this overview it’s possible to sort on the column ‘Report’ or ‘Last run’.
Edit or delete a subscription.
Editing or deleting a subscription can be done in two ways:
- In the overview, you can edit the subscription by pressing the 'edit' icon, and the red cross icon allows you to delete it.
- On the report main page: On this page the button 'Schedules' shows a complete overview of all subscriptions for all users. From here it's possible to select a specific subscription after which you land on the editing screen:
The e-mail that is being sent, will contain an overview of the report with a hyperlink leading to this report in Legalsense.
