The Legalsense update of June 2024 has version number 24.06 and includes the following changes:
Support for DOC Word templates ending soon
In this Legalsense update, we restricted the upload to only allow Microsoft Word files of the type and with the extension of .docx. This means that older versions of Word (older than 2007) with the extension of .doc are no longer accepted. Already existing templates that use the DOC format (with .doc extension) will be supported for two more months. We kindly request you to replace them with a version in the newer format with a .docx extension before the release of 24.08. Starting with Legalsense version 24.08, pre-existing .doc files will no longer be supported and will therefore be incompatible.
You can upload Word templates in your Legalsense by going to 'Settings' - 'Lists' - 'Word templates'. This is used, for example, to add an Engagement letter template.
If you need any assistance with updating your Word templates to the DOCX format, please reach out to Legalsense support.
Time
When your Legalsense environment is configured for multiple firms (multiple entities), you can filter on 'Firm' when searching for time entries ('Time' - 'Search' - 'Advanced search').
Clients, matters, contacts
- When your Legalsense environment is configured for multiple firms (multiple entities), you can filter on 'Firm' in the matter list and contact list when using 'Advanced search'. Filtering the client list on 'Firm' was already possible.
- The creator (Legalsense user) of a document, such as an engagement letter, is shown within the KYC Documents section when hovering over the information icon.
- On the contact detail page, Legalsense displays where the contact is used as a client or in matters. This information is organized into two categories: 'Client and matters' and 'Archived'. This categorization helps to provide a more comprehensive and organized overview of where the contact is used.
- When archiving a contact on the contact's detail page that is not allowed to be archived, the notification is displayed on the same page, and you will no longer be redirected to the contact list.
Invoices
- An extra column 'Tags' is added to the Excel export of the 'Invoice list' and 'Debtor overview'. This column shows all tags that were added to the invoice.
- When your Legalsense environment is configured for multiple firms (multiple entities), you can filter on 'Firm' within the 'Debtor overview' when using 'Advanced search'. The same filter has also been added to the Disbursements search.
- When using the billing workflow, a message now indicates the success or failure of bulk task changes, providing more information about the status of the action.
Reports
- The columns 'Matter number', 'Client number', and 'Employee number' are added to the Excel export of the Rates report.
- Two new grouping options 'Parent client number' and 'Main client number' are added to the reporting builder. The 'Parent client' refers to the direct parent of the client, while the 'Main client' refers to the ultimate parent of the client.
Settings
- A setting 'Archive billed products' is added to 'Settings' - 'General' - 'System' within the 'Billing' section. When you enable this setting, a billed product will be archived automatically when the invoice that bills the product is finalized. Archiving billed products prevents the possibility of writing time on a billed product and helps keep a better overview on the matter page. Products that are automatically archived can be unarchived manually. When you credit an invoice with a product, the product will be unarchived so that it is available for billing again.
- When a user attempts to log in with incorrect credentials too many times, they will be blocked from Legalsense for two hours. Previously, users had to contact Legalsense support to unblock the account immediately. Now, users with the correct administrator credentials can unblock users by navigating to 'Settings' - 'Security' - 'Blocked Accounts.' Clicking the 'unblock' icon at the end of the row will unblock the user.
API
- We have added 'read-only' (view) permissions to all endpoints in APIv3. This allows users with 'view' permissions to interact with the API in a 'read-only' manner. These permissions need to be configured within a security group in your Legalsense environment to assign them to users. Please contact Legalsense support if you would like to add or customize your groups and permission assignments.
- Rates (referred to as 'Pricing' in the background) have been added to APIv3 with the introduction of three new read-only endpoints: 'Pricelists', 'Pricekeys', and 'Prices'. Documentation on these endpoints and their interrelations is available in the Pricelists endpoint. In Legalsense, rates can be set at both the Client and Matter levels. The 'price_list' field has been added to the Client and Matter endpoints.
- We have added the Logline endpoint to APIv3 for time entries. This endpoint supports GET, PUT, POST, and DELETE operations. The available filters for this endpoint are 'user', 'matter', 'date', 'modified_date', 'billed_on_invoice', 'billed_on_invoice_draft', and 'is_active'. By default, the endpoint returns a minimal set of fields, but all other listed fields can be included by using the 'extra_fields' parameter.
- In APIv3, the 'page size'—the number of objects returned by the API—was previously a fixed value. This is now a variable parameter, 'page_size,' in the API. The default page size is set to 500, but you can change the page size for each view by using the GET parameter.
