Contacts are used as the basis for clients in Legalsense, but they can also have other roles: debtor, contact person, counterparty, etc.
Adding a new contact
To add a contact, click on "New Contact" on the "Contacts" sheet.
A new screen will open allowing you to enter the contact information, billing related information and other contact(person) information.
Contact information
You select 'organization' if you want to enter a company as the contact and you select 'natural person' if the contact is a person.
For an 'organization' there are different fields to fill in than for a 'natural person'.
Fields marked with a "*" are required fields. We recommend filling in the contact details as completely as possible. This can be useful later on for e.g. the conflict check and consulting debtor information. Marking fields as 'required' can help with this. In consultation with Legalsense, in addition to the standard fields, other fields can also be marked as 'required'. Please contact the Legalsense helpdesk for this.
Billing address
Behind the 'Address template' field, you will see a drop-down menu that allows you to determine how the contact will be indicated on the invoice, for example with or without Attn. before the name of the contact. You can select the following choices:
Contact person
Other contact details
If the contact has the role of debtor, the 'E-mail' and 'Secondary e-mail' fields are important in case the invoice(s) and/or reminder(s) should be sent by email.
In the 'E-mail' field, enter the email address of the organization, department and/or person to whom the invoice should be sent and check the box 'Billing To'. If the contact in question should also receive the reminder, also check the box next to 'Dunning To'.
If other contacts should receive the invoice in copy you can fill in that e-mail address in the field 'Secondary e-mail' and put a tick in front of 'Billing CC'.
