In addition to products Legalsense also offers support for subscriptions. With a subscription it is possible to have products automatically created on a matter with a predefined frequency.
Subscriptions can be used, for example, to offer "help desk" services or situations in which your client pays a certain amount each month and is then entitled to a number of hours of support from a legal professional.
The operation of subscriptions is related to the functionality of "Products" and it is therefore necessary that the feature "Submatters/products" is active in your environment and that products have already been created (see article Products).
Add a subscription
To be able to use a subscription, it must first be added to the matter. The subscription can be added via the button "Add subscription":
A form will then be displayed in which a number of options can be defined:
Below is a brief explanation of the choices/options:
Name: The default name of the selected product is adopted as the default name. If a different name should be used, you can override this default name by unchecking "Name". The deviating name can then be entered in the field.
Product: Here you can indicate the product on which the subscription should be based.
Unit price: As a general rule, the standard price of the product is used to charge the subscription. A different price can be specified here, which will then be used.
Frequency: The frequency with which the subscription should be charged can be entered here.
A frequency can be set to Yearly, Monthly, Weekly and Daily:
After choosing the frequency, you can specify whether the subscription should be created on every day of the selected period or, for example, on every 2nd day of the selected period.
When checking "Repeat until" you can limit how often a subscription will have to be created. You can set a date in the future after which no more subscriptions will be created after that date or you can choose a "number" of repetitions (for example "Repeat 1 time").
Begin date: The begin date determines when the subscription will start.
Bill at: Here you can determine when the subscription will be charged. The choices here are:
-
Beginning of period: If the frequency is set that the subscription must be created every 4th of the month, the choice "Beginning of period" will result in the subscription also being charged at the beginning of the month.
-
End of period: With this option, the subscription will be charged at the end of the period (even if the frequency is set to every 4th of the month).
Billing date offset: In this field a value in "number of days" can be entered in which Legalsense should look at the standard prices. For example, if a value of "-3" is entered in this field, Legalsense will use the "unit price" of the product that was active 3 days earlier.
Default quantity: The default quantity determines how many pieces of the subscription will be charged. The default value is 1 but this can be easily changed.
If the correct data is set, the subscription can be saved.
