The Legalsense update of April 2024 has version number 24.04 and includes the following changes:
Report subscriptions
A new functionality is added to the reporting module: report subscriptions. By subscribing to reports, you can receive reports directly in your email.
To manage this feature, the following permission has been added to Legalsense:
- 'manage_reportsubscription': the possibility to manage the subscriptions of all users. This permission is added to the groups with the permission 'manage_report' (in the default Legalsense setup, this is the permission group 'Reporting management').
Please note that users who don't have the permission 'manage_reportsubscription' will only be able to create a subscription for themselves on reports they already have access to. For more information about report subscriptions, please see the article Report subscriptions.
Passwords are required to be 12 characters
The minimum default password length is changed from 8 to 12 characters to increase the security of Legalsense passwords and, therefore, your data. Users with a password of 12 characters or more will not be affected by this change. Users who have a password of less than 12 characters will be asked to change their password after login.
Time
- Two columns are added to the Excel export of time entries: 'Parent client' and 'Main client'.
- A field 'Billing supervisor' is added to the 'Time' - 'Search' page. When using this field, all time entries for matters where the selected billing supervisor is set as a billing supervisor will be returned in the search result.
- The hours report has been updated with a new choice for selecting a date range. When selecting a begin and end date, only the selected days will be returned in the report.
Clients, matters, and contacts
- Tags of clients, matters and contacts are shown in an additional column of the conflict check. The column is added at the end of the table and shows the tags of the object that is shown as a result of your conflict check.
- It is possible to create an internal/personal non-billable matter with a separate (distinguishable) number, even when you are using Legalsense together with Epona ContactManager. In order to do so there are specific permissions needed. More information on creating a non-billable matter can be found in the article Create non-billable/internal matter.
- An extra field 'Name on invoice' is added when adding a submatter to a matter if the feature submatters is enabled in your environment. This field allows you to specify a different name for the submatter that can be used on the invoice, similar to products. To use this field on the invoice, it needs to be configured in your invoice template. To do so, you can contact Legalsense support.
Invoices
- When creating new invoices in a batch, by for example, choosing 'New Invoice' - 'Per matter supervisor,' you had a list of matters that could be (de)selected per matter. It is now possible to (de)select the complete list at once and/or to filter in the list of matters.
- A filter 'Parent client' is added to the advanced search of the debtor overview. The results show every unpaid invoice that is linked to a client that is linked to the parent client.
- A filter 'Main client' is added to the advanced search of the debtor overview. The results show every unpaid invoice that is linked to a client that is linked to the main client.
- Three columns: 'Fees', 'Disbursements', and 'Other' are added to the Excel export of invoices from the invoice list and the Excel export of unpaid invoices from the debtor overview. The value of these columns excludes VAT and shows a breakdown of the total excluding VAT.
- A field {{firm}} can be used in invoice texts and invoice emails. The field will return the name of the firm that the invoice belongs to. For more information about invoice texts, please see our article Invoice texts.
- You can empty the 'Period' field on a draft invoice. If you do not empty the 'Period' field, the period will be automatically filled in.
- Legalsense shows a notification on a draft invoice when there are time entries found that match the criteria of the draft invoice, but are not on the draft invoice. This notification is extended with disbursements and products.
Reporting
- A new column, 'Billable %' (billable percentage), is available in the report builder for reports based on 'Time and fee amount, both billed and unbilled.' The column can also be configured in the performance report. The billable time percentage is computed based on the total billable time compared to the total written time. Contact Legalsense support if you would like to configure this column in your performance report.
Users
- When viewing the details of an inactive or archived user, the status 'Inactive' or 'Archived' is displayed next to the name. Additionally, we also display whether the user is 'Selectable' or 'Unselectable'. For active users that have been marked as unselectable, this status is displayed as well.
Integrations
- Depending on your integration settings, the matters and debtors are sent from Legalsense to your accounting system. If you delete an object in Legalsense and this object has not been sent to the accounting system yet, it will remain in the queue. This leads to errors when the queue is being processed. To prevent this error, Legalsense will now remove the deleted object from the queue so the synchronization can proceed.
- Disbursements entered via Basecone/ Twinfield and imported by Legalsense with a PDF attachment of the disbursement invoice were not automatically added as a PDF attachment to the invoice in Legalsense when 'Include PDF with invoice' was turned on. This is resolved so the PDF attachment of the disbursement invoice will be automatically added to your invoice in Legalsense.
API
- List endpoints can be filtered by datetime (in ISO 8601 format). This can be done for the following fields: 'modified_date__gte,' 'modified_date__lte,' 'created_date__gte', and 'created_date__lte.'
